Document Controller
Job Description
In general, the Document Controller is to provide support to the overall development of the company’s mining projects, by implementing effective document management and control processes from construction to mine operations. He/she will be the lead in implementing the new Document Management and Control System of all company records.
Specifically, he/she shall be responsible for the following:
- Establish an overall Document Management System for the company’s mining projects, particularly for all the electronic documents such as study reports, regulatory reports, references, letters received, and other documents available.
- Formulate and review policies, guidelines, and procedures on a centralized document management system according to the organization’s needs and facilitate approvals.
- Receiving, numbering, distributing, and tracking projects/study vendor documents.
- Manage all incoming and outgoing documents within the organization, ensure proper distribution/routing of final copies to concerned personnel/repository and process document request retrievals.
- Preserve records, document, and objects and facilitate the evaluation or records for preservation and retention.
- Conduct rollouts, training, and workshops within the company regarding the procedures and proper optimization and usage of the Document Management System.
- Provide appropriate and timely assistance to all users of the System, including but not limited to providing access, and organizing and uploading files/folders – applicable to internal and external users.
- Ensure effective use of the project’s safety and environmental standards and systems within its own area of responsibility to positively contribute to nurturing the organization’s safety and environmental management culture.
- Provide plans, commitments, schedules, and budget requirements for the implementation of the Document Management System.
- Provide monthly reports or updates on the implementation of new project/s, issues and concerns, storage status, and suggestions/recommendations.
- Perform other duties as may be required by the Senior Project Mining Engineer in good faith or in the interest of the project, business, or as the company requires.
Requirements:
- Bachelor’s degree in Engineering, Information Technology or any relevant course.
- Proficient in MS Office Applications
- Experience in document management systems implementation, i.e., Aconex, Prolog, SharePoint, and Team binder, is a must.
- Can administer existing database platforms like Oracle or develop databases for managing documents for all Projects.
- Experience with document management for construction, mining, and quarry projects is an advantage.
- Can understand technical/engineering documents, plans, and drawings.
- Must be able to interact and cooperate with everyone to achieve common goals.
- Should exercise initiative and maintain confidentiality.
- Must possess good leadership to guide the Team and the entire Organization in the document management process.
- Capability to assume additional responsibilities as may be required.
- Must be able to conduct practical application on any system required by the organization.
- With good writing and communication skills.
